Meeting Protocols

Meeting Protocols
ProtocolsMeetings are expensive — don’t waste people’s time!! Avoiding meeting if there is no compelling need to meet.

When you do meet:
  • Always provide a written agenda
    • Circulate in advance to allow for preparation
    • Stick to start and stop times — this can be challenging in some organizations if being on time isn't a cultural norm, but you'll be well-served in the long run if you develop a reputation as someone who respects others' time enough to meet this commitment
  • When "homework" is required in order to be prepared for the meeting:
    • Verify that it’s been done — holding people accountable is a big part of your job as a PM
    • Be sure you have done your own — your credibility is always on the line!
  • Take your own minutes
    • Note action items — what, when, by whom
    • Record results of votes, not counts
